
A document imaging system must have a comprehensive indexing
system that organizes documents for future use, just as paper
documents must be organized to be useful.
Typically, the fields included are the full case number, the full name(s)
of the plaintiff, the full name(s) of the defendant, the document type,
a document source, and so on. Other index fields could be added as
needed. There is no limit to the amount of indexing that can be done.
When a case file is needed, it could be retrieved using any one or more
of those key fields. Properly indexed files can be retrieved in less than
5 seconds.
The coding of your documents is also customizable. Documents can be
numbered electronically or stamped with other information such as
"Confidential", "Attorney Eyes Only", or case-specific text.
